Alright, let's dive into the juicy details of building a dope web design team that can elevate your agency to new heights.
This strategy has transformed our approach at 5Four Digital, and I’m excited to share it with you.
No more hunting for unicorns or struggling to find the right talent. This guide will help you build a cohesive, efficient team in a structured, scalable way.
Here's how to do it:
The Essential Roles
First things first, let’s talk about the key roles. If you're starting small, focus on designers and developers. These are your core team members.
1. Designers:
Branding Designers: Focus on logos, typography, visual layouts, and overall look and feel. Think about McDonald's – the golden arches, the color palette – that's the branding designer's domain.
UI/UX Designers: Concentrate on the user interface and experience, ensuring the website looks and functions beautifully across all devices. They take branding elements and craft them into stunning layouts for desktop, mobile, and tablet.
In some cases, you might find a unicorn designer skilled in both branding and UI/UX, but these folks are rare and often costly. Splitting these roles can help manage costs and improve focus.
2. Developers:
Webflow Developers: Skilled in transforming designs into functional websites using tools like Figma and frameworks like Client-First.
Shopify Developers: Experts in Liquid, developing high-performing websites from scratch based on your wireframes. They ensure the websites not only look good but also perform seamlessly.
3. Project Manager: The glue that holds everything together. They delegate tasks, keep the team on track, and ensure deadlines are met using tools like Trello, ClickUp, or Notion. Initially, this might be you, but as you grow, a dedicated project manager will be crucial.
Recruitment Strategy
Finding the right talent can be challenging, but I’ve got some tips:
1. Twitter: The design community on Twitter is vibrant. Follow designers, check out their portfolios, and see their process in real-time. 2. Upwork: Hire a few designers/developers for small projects to test their skills before committing long-term.
Look for individuals who are not only talented but also a good cultural fit. Our team shares interests in anime, comics, and games, which makes collaboration fun and engaging.
Micro-Hires: When hiring from Upwork, consider micro-hires. For instance, hire two to three designers to complete a single page of a wireframe. This allows you to evaluate their process, responsiveness, and design quality without a significant upfront investment.
Flexibility is key. Most of our team members are independent contractors, working anywhere from 5 to 30 hours a week. This structure helps us scale according to our workload and ensures we can handle ebbs and flows smoothly.
Fostering a Collaborative and Creative Environment
1. Diverse Team: Bringing in people from different backgrounds and perspectives sparks creativity and innovation.
2. Tools: Use Slack for communication and a project management system like ClickUp to keep everything organized.
3. SOPs: Create Standard Operating Procedures for every task to ensure consistency and efficiency. Everyone should contribute to these documents.
Continuous Learning: We offer a $500 stipend for courses and training, and memberships on platforms like Coursera. This encourages ongoing learning and skill development, keeping our team sharp and innovative.
Managing Projects and Workflow
Break projects into six segments:
Brand Discovery

Wireframes/High Fidelity
Quality Assurance
Launch
Assign tasks with clear deadlines and ensure quality assurance checks are in place to avoid any last-minute issues.
Effective Delegation: Use project management tools like ClickUp to assign tasks with date stamps and assignees. This visibility ensures everyone knows their responsibilities and deadlines, facilitating smoother project execution.
Building a Brand and Client Relationships
Create a one-page brand guideline document for internal use and share updates with clients regularly. Overshare if needed – it builds trust and shows your dedication.
Send a weekly recap every Friday, detailing progress, what’s completed, and what’s next. This keeps clients in the loop and reassures them of your commitment and progress.
Retention and Team Growth
Keep your team happy and engaged:
Provide consistent work.
Offer pay raises quarterly.
Showcase your team’s work to attract new talent.
And remember, work-life balance is key. Flexible schedules and asynchronous work help keep the team motivated and productive. Encourage team members to work during their most productive hours, whether it's early morning or late at night.
